1. Who this policy is from

Sovereign Suite is published under Australian Privacy Network. Australian Privacy Network is the entity accountable for how personal information on this website is handled, under the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

2. What we collect on this website

Today, the public website is primarily informational. We collect:

  • Contact enquiries. If you email us or use a contact form, we receive your name, email address and the content of your message.
  • Standard request metadata. Like every website, our hosting provider processes information your browser sends automatically — IP address, user agent, requested URL and timestamps — for the purposes of delivering the site and protecting it from abuse.
  • Cookies and similar technologies. Strictly necessary cookies are used to operate the site. See the Cookies & Data page.

The verification workspace, sign-in and payment features are being progressively rolled out. Where those features are not yet live on this website, we do not collect the data they would involve.

3. What we do not do

  • We do not sell personal information.
  • We do not build cross-site advertising profiles.
  • We do not use content submitted to Sovereign Suite to train third-party AI models.
  • We do not require you to create an account to read this website.

4. Why we handle personal information

We use the information above only to:

  • respond to enquiries and provide information you ask for;
  • operate, secure and improve the website;
  • meet legal and regulatory obligations that apply to us.

5. Disclosure

We do not routinely disclose personal information to third parties. We use a small set of infrastructure providers — for hosting, email delivery and error monitoring — that process request or message data on our behalf under confidentiality obligations. We may disclose information where required by Australian law, court order, or where strictly necessary to protect the safety of a person or the integrity of the platform.

6. Overseas transfers

Some of our infrastructure providers are located overseas. Where personal information is transferred outside Australia, we take reasonable steps to ensure it is handled in a manner consistent with the Australian Privacy Principles.

7. Security

We apply security-by-design controls including encryption in transit, role-scoped access, and least-privilege operational practices. See the Security page for more detail. No online system can be guaranteed absolutely secure, and we do not claim otherwise.

8. Retention

We retain personal information only for as long as needed for the purpose it was collected, and to meet legal record-keeping obligations. Enquiry correspondence is retained for a reasonable period so that we can follow up and demonstrate what was agreed.

9. Your rights

Under Australian privacy law you can:

  • ask what personal information we hold about you;
  • ask us to correct information that is inaccurate;
  • ask us to delete information where we are no longer required to hold it;
  • make a complaint about how we have handled your information.

Requests can be sent to privacy@sovereignsuite.com.au. We will acknowledge your request promptly and respond within a reasonable time. If we decline a request, we will explain why in writing.

If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

10. Notifiable data breaches

If we become aware of an eligible data breach that is likely to result in serious harm, we will notify affected individuals and the OAIC in accordance with Part IIIC of the Privacy Act.

11. Changes

We update this policy when the site or product materially changes. The date at the top of the page reflects the most recent revision.
